
The Opportunity
Stageschool is redefining arts training by blending tradition with innovation, ensuring every performer, whether a beginner or aspiring professional, has the tools and support to succeed.
We’re looking for a Stageschool Officer who can manage the end-to-end operational lifecycle of our Stageschool graded examinations. The Stageschool Officer will be the central point for orchestrating exams, ensuring a smooth, efficient, and compliant process from initial booking through to certificate dispatch. This role requires someone with exceptional organisational skills, meticulous attention to detail, and outstanding communication abilities, particularly when liaising with school principals and examiners.

Salary: c.£24-25,000 per annum
Key Duties & Responsibilities
Exam Coordination & Scheduling:
- Receive and process exam booking submissions from customers such as Performing Arts schools.
- Develop and manage exam schedules, liaising closely with school principals to finalise arrangements, including candidate
- Allocate suitable examiners based on discipline, location, and availability.
- Gather and maintain up-to-date examiner availability records.
Liaison & Communication:
- Serve as the primary operational point of contact for Performing Arts school principals, handling enquiries efficiently and professionally via phone and email.
- Build positive working relationships with principals, providing attentive support.
- Liaise effectively with examiners regarding schedules, travel logistics, required documentation (marksheets, schedules), and general queries.
- Collaborate with internal teams, including the Business Development team, Stageschool Global Manager, and Chief Examiner, providing operational input as needed
- Respond to general enquiries from the public regarding Stageschool exams.
Administration & Process Management:
- Ensure timely receipt of accurate candidate information from schools.
- Manage the process for Reasonable Adjustment applications, ensuring procedures are followed and decisions are communicated clearly.
- Raise accurate invoices for examination fees and diligently monitor receipt of payments.
- Coordinate examiner travel and accommodation logistics, ensuring cost-
- Monitor the timely upload of completed marksheets by examiners onto the relevant
- Generate and distribute accurate results reports to schools.
- Oversee the accurate printing and dispatch of certificates to schools.
- Maintain meticulous records for all stages of the exam process, ensuring data accuracy for reporting and compliance purposes.
Compliance & Quality Assurance:
- Ensure all administrative and operational procedures adhere to Stageschool policies and relevant regulatory requirements.
- Maintain high levels of accuracy in all documentation, communications, and data
- Contribute to the continuous improvement of exam processes and systems
Personal Specifications
Essential:
- Proven experience in a demanding administrative or operational role, demonstrating end-to-end process
- Outstanding communication skills (both written and verbal), with a professional, clear, and courteous telephone manner.
- Exceptional organisational skills with the ability to manage multiple tasks and deadlines effectively.
- Demonstrable experience in providing excellent customer service, including managing relationships with potentially demanding clients.
- Meticulous attention to detail and a commitment to accuracy.
- Strong IT literacy, comfortable learning and using various software systems and databases efficiently (agile with information systems).
- Ability to work independently, manage own workload and time effectively, whilst also being a supportive team player.
- A proactive and solutions-focused approach to problem-solving.
- Understanding of the importance of confidentiality and data protection.
- Awareness of cost control principles in administrative tasks (e.g., logistics).
Desirable:
- Experience working within an awarding organisation, educational institution, or the examinations sector.
- Specific experience in examinations administration or coordination.
- Experience managing logistics, such as travel arrangements.
- An interest in or understanding of the Performing Arts sector.
